Facilities

In partnering with Facilitron, Roseville City School District has launched custom facility use sites for the district and each school – allowing facility use requests to be submitted at any time. With this system, reservation requests can be submitted easily and will be handled more efficiently.

Facilitron allows renters to:

  • Access photos and descriptions
  • See real-time availability
  • Get estimated quotes
  • Pay online

Facilitron assists with the set-up of organization and user accounts along with verification of non-profit status (if applicable). Facilitron also collects payment and proof of insurance (certificate of insurance) on Roseville City School District’s behalf. Payments can be submitted conveniently on Facilitron. Payment options include major credit cards, checks, ACH/eCheck, and Paypal. Proof of insurance (certificate of insurance) can also be conveniently uploaded into the system, and/or it can be obtained directly through Facilitron.

Visit Facilitron to view and request all district facilities. The district’s administrative staff makes final decisions on all facility use requests. If you need any assistance setting up an account and/or submitting a facility use request, you can contact Facilitron directly at: support@facilitron.com, or by calling them at 800-272-2962. Please note this process can take up to 2 week to complete due to multiple staff approvals needed. 

Important Dates

  • Facility rentals for June are planned to be made available in the first week of April. July will remain closed for facility use requests.
  • Facility rentals for the 2025-26 school year will be made available the first week of school.

Facility Use Rates

Board policy states the governing board may grant without charge the use of school facilities or grounds to non-profit organizations, clubs, or associations organized to promote youth and school activities when an alternate location isn’t available. Such groups include:

  • Girl Scouts
  • Boy Scouts
  • Campfire Inc.
  • RCONA
  • Parent-Teacher Associations 
  • School-Community Advisory Councils

The school district will not charge a fee to the above groups when an employee is already on duty except for groups of 30 or more. If use by the group would require an employee to be hired on an overtime basis, the school district may charge based on the Personnel Fee schedule below. The school district will charge a fee to any other group or organization. Direct cost will be charged to youth and adult recreational leagues, government agencies and other educational agencies. Fair Rental Value rate will be charged for other groups/meetings not outlined above. Fundraising projects will only be allowed for school groups.

Personnel Fees

  • For all events with more than 30 people (all users), staff will be required at $56 per hour (2 hour minimum). This is in addition to the rental fee. 
  • A District Food Service employee at $48 per hour (2 hour minimum) is required to be in attendance for the duration of a kitchen rental.

SAM Coverage

Due to an increase in claims involving Sexual Abuse/Molestation (SAM) cases accross the US, School’s Insurance Group (SIG), the insurance carrier for the Roseville City School District, has advised that all groups looking to use RCSD facilities will need to provide documentation of SAM coverage, in order to rent/lease the facilities. Minimum coverage required is $1,000,000 per occurrence with a $2,000,000 aggregate limit.

In many cases, SAM coverage can be added to the General Liability Policy that is already required in order
to rent out space with RCSD.

  • Minimum premium amounts for the required coverage is $5,000, no matter who the vendor is (policy length of 1 year)
  • Policies take 60 days before they go into effect, per industry guidelines

Should your normal insurance carrier decline to add the SAM coverage to your General Liability Policy, or
should they not offer SAM coverage, stand-alone policies are available for purchase. Below please find the
names & contact information for several insurance carriers/brokers that offer stand-alone SAM policies.

Please note that RCSD has no preference as to which carrier/broker you choose to work with, nor do we require you to choose a carrier from this list. This list is meant solely as a guide and a starting place for getting you the required coverage.
